Kappa Delta Pi (KDP) inspires and equips future and new teachers to thrive. Celebrating excellence in teaching from campus to classroom, KDP provides community, connection, and competencies for teacher candidates in their final years of preparation as well as new teachers in their first 3 years of instruction. KDP's membership spans 675 institutional chapters and 35,000+ individual members, who are recognized for their achievements in becoming an excellent teacher.
Short Description
The KDP Assistant to the CEO is the CEO's right-hand trusted supporter engaged in internal and external activities that fall within the purview of the CEO's role leading a national membership association. The Assistant works in tandem with the CEO to ensure the success of KDP in achieving macro- and micro-level goals. They interact in a professional, executive manner with KDP staff, the national Board of Directors, volunteers, partnerships, and client members. As an internal- and external-facing position, the Assistant should exemplify KDP's journey toward excellence in all we say and do. A passion for supporting and celebrating future and new teachers is essential to be a strong staff team member.
It is critical that the Assistant be able to interact with all levels of the organization in a virtual and in-person manner. The person should respond well to pressure and be resourceful, proactive, and efficient, while maintaining a professionalism and confidentiality. Excellent written and verbal communication skills are a must.
Duties & Responsibilities
1. Provide Leadership and Support for the CEO
- Manage CEO calendar; including scheduling appointments, confirming appointments, and ensuring all necessary documents are available for meetings.
- Document in fund development database (Association Anywhere) all stewardship activity engaged in by CEO, including proactively providing drafts for upcoming stewardship communications.
- Document in client database (Association Anywhere) activity engaged in by CEO and other roles of committee engagement of key volunteers supporting the Board and KDP.
- Ensure timely and appropriate responses to staff and community requests on behalf of the CEO.
- Coordinate correspondence: letters, thank-yous, congratulations, birthdays, sympathy cards, and special gifts.
- Manage ceo@kdp.org general communication account.
- Complete and submit expense reports for CEO.
- Prepare agendas, slide decks, and technology set-up for all meetings where the CEO is either presenting or responsible for hosting (e.g., all-staff, leadership team, Board, Past Presidents, Laureate Chapter).
- Plan virtual and in-person events related to the role of CEO and assist staff with larger KDP events.
- Present contracts for signature by CEO, including recommendations and documentation to support signing; disseminate signed contracts to applicable parties.
- Provide technical support to the CEO and collaborate with IT staff and vendors.
- Maintain Human Resource documentation and processes, as needed.
- Assist in planning staff professional development and team building.
- Create reports on organizational data for CEO to analyze trends and dashboards.
- Assist in creating and maintaining an efficient, effective office environment.
- Create and update internal staff and office policies and procedures.
- Follow up with staff, vendors, and partners on behalf of CEO, as needed.
- Maintain positive relationships with Board, volunteers, partners, members, and staff.
- Identify organizational issues to bring to the CEO's attention.
2. Champion and Assist KDP's National Board of Directors
- Collaborate and support each Board member in their Board role.
- Plan Board meetings, committee meetings and Board events with CEO & President.
- Prepare meeting notices, agendas, presentations, and meeting documents in collaboration with the CEO and Board President.
- Lead day of hosting and meeting follow-up on action items and preparation of minutes.
- Manage the Board communication portal, Board calendar, and Board notifications.
- Produce materials for Board (e.g., Board orientation, mailings).
- Take the leadership role in Board events (e.g., annual meeting, Convo meetings).
- Manage processes outlined in Bylaws and Articles (e.g., elections, nomination process, committee approvals).
- Manage Board travel and lodging arrangements, as needed.
3. Help Drive Innovation and Growth
- Foster collaboration with members, donors, volunteers, partners, and staff to unite the entire KDP community under one brand, mission, and vision to build an inclusive, diverse national KDP community of members from 675+ local chapters, regions, and teaching communities in which the whole is greater than the sum of its parts.
- Maximize the use of technology to ensure high-touch and high-tech national strategies.
- Utilize systems for tracking metrics across all initiatives and provide results to CEO to increase KDP's effectiveness and achieve goals.
- Engage in ongoing professional development to ensure KDP is a cutting-edge, first-rate organization.
- In this role within the national KDP community, be relationship-oriented, proactive, positive, and dynamic to engage others with KDP.
What You'll Need for Success
Education/Experience: Bachelor's degree required. At least 3 years of related experience. Experience with nonprofit, association, and/or education organization is beneficial. This is not an entry-level position.
Knowledge: Strong technical skills including proficient using Microsoft Office Suite and customer relationship management (CRM) systems. Ability to pull reports in databases.
