Position: Property Management Assistant

The Ruthvens are currently looking to fill the position of Portfolio Management Assistant. We have 65 years of leadership building, owning, and managing over 90 buildings with over 4 million square feet of warehouse space in Lakeland, FL. The Ruthvens are a dynamic, family-run company and this is a key position to support the continued growth and success of the business.

Candidates for this role must be detail oriented and highly organized. Someone who enjoys working with numbers and reconciling accounts. Additionally, the candidate must have excellent communication skills, a positive attitude, work well on a team and be polite and courteous, while speaking with customers.

Primary Duties

Property Management

  • Prepare year end NNN (Triple Net or Common Area Maintenance) reconciliations
  • Manage multiple Condo Association budgets, dues and annual meetings
  • Role requires admin to work closely with accounting managers

Leasing Support

  • Work with lease coordinator and leasing agents to create and track leases from inception to move in
  • Manage leases in our property management system from move-in to move-out
  • Work with Operations Manager to process tenant moveouts
  • Prepare reports for weekly and monthly company meetings

Utilities Billing

  • Manage utility accounts with Lakeland Electric
  • Request new meters from Lakeland Electric
  • Prepare quarterly utility billings to tenants
  • Track and record utility costs every month
  • Code utility bills and enter then into accounting software

Additional duties

  • Manage Notice of Commencement and Notice to Owner documentation process
  • Back-up for receptionist, including administrative duties

Necessary Skills / Qualifications

  • Bachelor's degree or equivalent work experience
  • Experience with modular accounting system (Yardi Voyager preferred)
  • Self-motivator
  • Great attention to detail and organizational skills
  • Strong written and verbal communication
  • Proficiency of Microsoft Word, Excel and PowerPoint
  • Professional business demeanor
  • Strong interpersonal skills within the office and with customers

  • Property management experience
  • Real Estate knowledge
  • Construction permitting knowledge
